Quickbooks Privacy Policy

Effective date: 9/13/2026

This policy describes how “ExcelRetool” (the “Application”), an internal reporting tool operated by Excel Construction of Florida, Inc. (the “Company”), handles data obtained from the Company’s QuickBooks Online company file.

1. Who the Application serves
The Application is private and internal. Its only users are the Company’s employees and authorized contractors. The only QuickBooks Online company it connects to is the Company’s own. No customer, vendor, or member of the public uses the Application or is asked to connect an account to it.

2. What we read from QuickBooks Online
Using Intuit’s Accounting API with the `com.intuit.quickbooks.accounting` scope, the Application reads the Company’s accounting records: chart of accounts, customers and jobs, vendors, items, classes, employees (names and status only), transactions (invoices, bills, payments, journal entries and the other transaction types) with their line items, report output (profit and loss, balance sheet, cash flow, trial balance, aging), budgets, and attachment metadata (file names, not file contents). It reads the company information and preferences needed to interpret those records.

This data includes business contact details of the Company’s customers and vendors (names, addresses, emails, phone numbers) as they appear in the Company’s books. It does not include payroll data, card numbers, or bank account numbers, none of which the Accounting API exposes.

3. How the data is stored
Data is copied on a schedule into the Company’s own database (Google Cloud SQL, United States region, encrypted at rest and in transit) so that reports can be built from it. Access tokens for QuickBooks Online are held by the Retool platform, encrypted, and are never stored in the Company’s source code or database.

4. How the data is used
Solely for the Company’s internal financial reporting, analysis, and operations — for example, project profitability, receivables and payables tracking, and management dashboards. It is not sold, rented, or shared with third parties, and is not used for advertising or profiling.

5. Who can see it
Access inside the Application is limited by role to accounting, management, and administrative staff, enforced on the server. Retool, Google Cloud, and Intuit act as infrastructure providers under their own terms; no other processor receives the data.

6. Retention
Mirrored data is retained for as long as it is useful for the Company’s reporting and is deleted when the Application is retired or the Company directs its removal. Disconnecting the Application from QuickBooks Online stops all further reading immediately; already-mirrored data is deleted on request of the Company’s administrators.

7. Your rights
If you are a customer or vendor of the Company and have questions about information the Company holds about you in its accounting records, contact the Company at the address below. Corrections are made in QuickBooks Online, the system of record, and flow into the Application on its next refresh.

8. Changes
The Company may update this policy; the effective date above will change when it does.
